At TOOLKT, we take your privacy seriously – especially because we work with young people.

This page explains what information we collect, why we collect it, and how we keep it safe.


1. What information we collect

When you sign up for a TOOLKT workshop or contact us, we may collect:

  • • Parent/caregiver name

  • • Email address

    • Phone number

  • • Child’s name and age

  • • School (optional)

  • • Any information you provide about your child that helps us support them

  • • Payment details (processed securely through our payment provider – we do not store your credit card details)

2. Why we collect this information

We collect this information so we can:

  • • Enrol your child in a TOOLKT workshop

  • • Contact you about session times, locations, and updates

  • • Provide feedback and progress updates about your child

  • • Improve our workshops and content

  • • Send you information about future TOOLKT programs (you can unsubscribe at any time)

We only collect information that we genuinely need to run our programs properly.

3. How we store and protect your information

We take reasonable steps to keep your information safe:

  • • Information is stored in secure, password-protected systems

  • • Only authorised TOOLKT team members can access it

  • • We do not sell, rent, or share your personal information with other organisations for marketing

We may use trusted service providers (such as email, booking, or payment systems) to help run TOOLKT, but they are required to keep your information secure.

4. Photos and videos

We may occasionally take photos or short videos during workshops to use for TOOLKT marketing (website, social media, brochures).

We will always ask for parent permission before using any photo or video that includes your child.

You can opt out at any time by telling us in writing.


5. Your rights

You can contact us at any time to:

  • • Ask what information we hold about you

  • • Request a correction

  • • Ask us to delete your information

  • • Unsubscribe from emails

Our Terms & Conditions

These Terms & Conditions apply to all TOOLKT workshops and programmes. By enrolling in a TOOLKT programme, you agree to the following terms.

1. Programme enrolment

When you enrol your boy in a TOOLKT workshop, you are booking a place in a small-group program. Places are limited, and your booking secures your boy’s spot in that programme.


2. Payment

Payment must be made in full before the programme begins, unless agreed otherwise in writing.


3. Cancellations and refunds

If you need to cancel your boy’s enrolment:

  • • More than 7 days before the program starts – full refund

  • • 3–7 days before the program starts – 50% refund

  • • Less than 3 days before the program starts – no refund

If we need to cancel a programme, you will receive a full refund.

4. Behaviour expectations

TOOLKT workshops are designed to be positive, respectful, and supportive environments.

We expect all participants to:

  • • Treat coaches and other students with respect

  • • Participate positively in activities

  • • Follow safety instructions

If a boy’s behaviour seriously disrupts the group or affects the safety or experience of others, TOOLKT reserves the right to remove that boy from the programme. In this situation, refunds may not be provided.

5. Safety and supervision

Boys are supervised during workshop sessions only.
Parents/caregivers are responsible for boys before drop-off and after pick-up times.


6. Photos and media

We may take photos or videos during sessions for marketing purposes.

We will always request parent permission before using any images that include your boy.

7. Disclaimer

TOOLKT provides educational and coaching programmes designed to build learning and life skills. We do not provide medical, psychological, or clinical services.

8. Limitation of liability

While we take all reasonable care to provide a safe and positive environment, participation in TOOLKT activities is at your own risk. TOOLKT is not liable for any injury, loss, or damage that may occur during participation, except where required by law.

Photo & Media Consent

During TOOLKT workshops, we sometimes take photos or short videos of activities and group work. We use these to show parents what the program is like and to promote TOOLKT to other families.

We understand that photos of young people are sensitive, so we will always ask for permission before using any image that includes your boy.

How photos/videos may be used:

  • • TOOLKT website

  • • Social media

  • • Information brochures or flyers

  • • Presentations about the program

Important:

  • • We will not publish your boy’s full name with any photo.

  • • We will not share personal information.

  • • You can withdraw your consent at any time by contacting us in writing.

Child Safety statement

TOOLKT is committed to providing a safe, respectful, and positive environment for all participants. All coaches are police vetted, and we have clear behaviour and safety guidelines in all sessions.
